When your company is involved in international trade, you may on certain occasions be required to produce some forms of export documentation. There can be many different forms of these, and they usually depend on the country of export, the commodity being shipped and the specific requirements of the customers.

Common documentation that we provide and can give guidance on includes:

  • Commercial Invoices
  • Arab & EC Certificates of Origin
  • EUR1 and ATR documents
  • ATA Carnets
  • Passports and Visas
  • Foreign and Commonwealth Office documentation
  • Authentication
  • Letters of Credit

For Letters of Credit, we at Independent Freight can undertake the below processes, or provide elements of this if required:

  • Preparation of all documents, such as Certificates of Origin, and ensuring the appropriate wording and formats are used.
  • Liaison with the applicant, ensuring they are kept up to date with the process, shipping dates and arrival times of the consignment.
  • Prepare spreadsheets, document timelines and Gantt Charts to ensure that each paper is prepared in accordance with the Letter of Credit and that it is presented to the bank in good time.
  • Review Letter of Credit applications with appropriate members of staff, ensuring its shipping compliance.
  • Liaison with departments within the customers’ organization to assist the deadlines in Operations, Finance and Transport.
  • Preparation of Letter of Credit transport documents
  • Running the prepared documents by the customer to confirm their satisfaction, before the documents are sent to the bank
  • Personally taking the documentation to the bank for presentation
  • Communicating with the shipping line if appropriate

If you require any more information of the preparation of anything listed above, please don’t hesitate to contact Jenny or Mandy on 02476 343037. Please also note that some of these documents may take a few days to prepare, depending on their individual complexity. Therefore please build this into your transit time as without the correct documentation issues with customs can arise, resulting in severe delays, storage costs and return of shipments to their origin, resulting in penalties from the relevant authorities.

Project Management & Consultancy

As you can see, Independent Freight can assist by providing a unique, hands-on service to ensure that you businesses needs are met. Testimonials from all companies mentioned above can also be provided for your convenience.

Here at Independent Freight we have learned, with our 10 years’ experience, that sometimes clients need that extra support outside the standard process of shipping goods, often in other aspects of international trade. If you have a specific project, regardless of the size and time frame, we can assist you 100% of the way. With our bespoke service we will ensure your requirements are met, resulting in both customer satisfaction and your own peace of mind.

Below are just some of the many real project case studies that we as a company deal with on a day to day basis, giving you a flavour of what we can offer you.

Example 1

Roll out of Stock

A client approached us for assistance with a major project they had received. This involved the rolling out of display stands for a huge international company across more than 400 high street shops across the UK and Ireland, with a time frame of 4-6 weeks for completion. We were able to help by receiving the incoming stock, distributing them through our warehouse network in the UK and establishing dialogue with all shops, ensuring that compliance with health and safety standards were in order. We then organised teams to set up and install the units at all locations, making sure all units were attached to an electricity supply and fully functioning where applicable.

Example 2

Tariff Classification Guidance

A customer involved in importing products into the UK for well-known automotive manufacturers asked if we could assist them in identifying their products against the most appropriate commodity codes, helping them with set up legally biding tariffs with HMRC and providing ongoing assistance and support as new products are developed. This ensures they are paying the correct amount of duty on all imports and that they are updated on changes accordingly

Example 3 –

Letters of Credit

For one of our customers we assist them in ensuring the letters of credit are processed in order for them to get paid on time. This includes:

  • Prepare all the documents such as C of O, Legalisation and make sure appropriate wording is used on all the documents.
  • Liaise with the applicant and yourself to ensure parties are kept up to date regarding process, shipping dates and arrival times.
  • Prepare spread sheets, document timelines and Gantt Charts to ensure each paper is prepared in accordance with the Letter of Credit and in time with the presentation to the bank.
  • Review Letters of Credit applications with appropriate member(s) of staff to ensure it is compliant from a shipping perspective.
  • Liaise with department(s) within the  organisation to ensure all deadlines are met such as Operations, Finance and Transport.
  • Prepare LOC transport documents.
  • Liaise with the Applicant to ensure they are satisfied with the documents before sending to the bank.
  • If required we will personally take the documentation to the bank for presentation.
  • Liaise with the shipping line if appropriate

Example 4

Re-packing, Stock Checking, Storage and Distribution

A regular customer with no warehousing or packing facilities of their own, instructs us to collect their stock of food products from various suppliers, stock check the products for damages and acceptable use-by dates, then re-palletise and load the containers for them. This ensures that their stock is looked after and saves the time and problems of finding unusable stock for them once the container reaches its destination,

As you can see, Independent Freight can assist by providing a unique, hands-on service to ensure that you businesses needs are met. Testimonials from all companies mentioned above can also be provided for your convenience.
